Sybase Version: Premier report that allows for a user to search for the number of students who have 1-4, 5-9, and 10+ instances of a single attendance code OR all attendance codes, all present codes, and all absent codes. Built for NYS but perhaps good for other states as well.

All Absent Codes undercounting

In 5 of my 7 buildings, I am experiencing low numbers when I run for All Absent Codes.

For example, in the high school:

UNX (unexcused absence)
1-4:  444
5-9:  78
10+:  25

ILL (Illness)
1-4:  495
5-9:  207
10+: 78

COL (College Visits)
1-4:  110
5-9:  1
10+:  0

All Absent Codes
1-4:  413
5-9:  311
10+:  194

The problem is most apparent if you total the 1-4 groupings.  (There are even more Absent codes which I haven't shown here.)  I have combed through my data, making sure that all attendance codes are properly indicated as Absent or Present (attendance status cd).  Is there a problem with the report, or do you think it's my data?

Are UNX, ILL, and COL the only attendance codes with Presence Status = Absent checked?  That'd be the first thing. Often I hear from schools who think one code shouldn't be counted as absent but they have that marked as absent.

Next, are you considering that a student with 4 UNX, 4 ILL, and 4 COL would have 12 "All Absent Codes" as it'll group the 3 together? It would explain the massive jump in 10+. The "All Absent Codes" are going to add up any instance of any code that counts as absent and count them all the same so 3 different codes, each with 4 would individually be in the lowest group but collectively be in the highest.
